Special Orders

We take special orders for the following items: produce, beer/wine, and UNFI (some items still have sourcing issues, we will let you know this on a case by case basis).

We (Washington State and beyond) are experiencing unprecedented demands for food and supplies due to the COVID-19 outbreak. The Co-op is doing its best to keep the shelves stocked for our community. Our distributors are also feeling the crunch and doing their best to keep up with the demand.

UNFI Catalogs

To get the shelf sale price on special orders, check the end date on the sale tag of the item you wish to order. Place your order no later than 9pm Monday the day before the sale end date. SALE END DATES ARE ALSO AVAILABLE ON THE COVER OF THE UNFI ORDER BOOKS AT MEMBER SERVICES.

Special Orders Buying Club (*Members Only)

Many of the products on our shelves come from United Natural Foods, Inc. (UNFI), a natural foods distributor in Ridgefield, Wash. Member/Owners can special order UNFI products in larger quantity often for better prices than shelf prices (wholesale plus mark-up depending on total cost of order). Catalog and order forms are available at the Customer Services Desk or you can download them here.

We receive special order deliveries three times a week. When you place your special order, keep these order and delivery times in mind:

  • Special orders placed by Saturday 9pm are ready for pick up on the following Tuesday.

  • Special orders placed by Monday 9pm are ready for pick up on the following Thursday.

  • Special orders placed by Wednesday 9pm are ready for pick up on the following Saturday.

Ordering From Other Vendors

Member/Owners can also special order from our other vendors (As of June 2020, only fresh produce & beer or wine are available for special ordering.) Order forms are available at the Customer Services Desk. Ask any staff member for more information about vendors you can order from and to see specific vendor catalogs.

How to place your UNFI special order.

  1. You can download your form, print, fill it out and email us at Cashier@foodcoop.coop or bring it in next time you shop and leave with us at Customer Service.

  2. Fill out all necessary information: name, date, phone number, and member number. If you are having trouble remembering your member number, please call the customer service desk during normal business hours. That phone number is 360.385.2883. Only active co-op members can place special orders.

  3. Open up the UNFI Catalogue to find what you want to order. There are two catalogues, the main catalogue and the monthly sale catalogue

    Below is an example of what you will find in the UNFI CATALOGS. Please note what you will need to have in order to fill out your special order form.

  4. Use the UNFI information to fill out the Special Order Form. Online form located here.

    THINGS TO CONSIDER:

    • Must have all information

    • Co-op Basics items are the same as shelf price. These items are already at the lowest price at the shelf.

    • If an item is on sale and the sale price is lower than the Buyer’s Club price, members will get the sale price. If the Buyer’s Club is lower than the sale price, members will get the Buyer’s Club price.

    • No partial cases

Catalog References: A breakdown of what each of the columns mean

Dept: designates the specific department within the catalog, such as Bulk, Grocery, Frozen, Personal Care, etc.

Brand: brand name. Any items below the brand name are within the same brand

Item #: UNFI 5-digit catalog number

Symbols: denote whether an item is organic, gluten-free, food service (comes in bulk size), etc. The symbols are defined at the top of each page

Product Description: mostly self-explanatory, though descriptions may vary somewhat from what is on product label

UPC #: if you have the product, you can put the UPC# from the product use the Find function on your PDF viewer to quickly find the item in the catalog

Case/Size: how the item is packaged. These can be listed as a single weight, which means a single container, or they can be listed as an amount/size for cases. For instance, something listed as 12/16 OZ would denote 12 items come in a case, with each item being 16-ounce size.

WS/Unit: is the individual price for each item at the UNFI Buyer’s Club pricing. If an item is a single weight, like 25 LB, the price will be the price per pound. If there are several items in a case, this will be the price for each item in the case.

EA/CS: whether something comes as a single item, like a single 25 LB bag of oats, or if it comes as a case.

WS/CS: this is the UNFI Buyer’s Club price for the item or case

SRP/Unit: this is the suggested retail price from UNFI.

3. Put the 5-digit UNFI catalog number in this column. This number is in the Column 3 in the catalog; must include all numbers, including zeroes.

4. Put brand and product description, including any specific flavors, in this column. Brand can be found in the second column and are located at the top of any brand list.

5. Unit Size: this information is found in Column 7 in the catalog.

6. Quantity: how many cases or bags you are requesting. For example, if a case contains 12, 16oz cans, and you want 24 cans, the quantity you want is “2”, not “24”.

7. Put the price from Column 10 from the catalog into this space.

8. Total: is the quantity multiplied by the price.

9. “T” denotes whether an item is taxable or not.
